GoHighlevel User Account Setup
Within GoHighlevel, there are two locations where you can set up user accounts. You can set up accounts at the agency or sub-account level. If you are not purposely setting up a user at the agency level, I would always suggest setting up the user at the sub-account level.
GoHighlevel user account setup between agency and sub-account can be complicated, so Let’s look at the difference between each.
What is GoHighlevel/Highlevel?
GoHighlevel, or just Highlevel as its users call it, is an all-in-one sales and marketing platform for marketing agencies and small businesses. The GoHighlevel platform offers every tool needed to run a business successfully at a fixed monthly cost. The GoHighlevel platform allows you to Whitelabel their software so agencies can use this platform and brand it like it was their own. This allows agencies to create a Software as a Service (SaaS) business and an additional monthly recurring revenue stream.
Typically, agencies would perform a job for their client, like building a website or running Facebook ads, only to have the job end or the client cancel their service. Now, agencies have to continue to market to find another client. Now, with GoHighlevel, you can migrate your clients off whatever CRM, email marketing tool, phone system, or funnel software they may be using and run their business entirely off the GoHighlevel platform. The best thing about this is that your clients pay you monthly for these services. You can charge $297, $497, or whatever you want to charge for these services, and your client continues to pay for these each month like a utility, creating a stable recurring monthly revenue.
GoHighlevel sets no limits for its users on any paid plan so that you can have unlimited contacts, websites, funnels, email or text templates, and workflows. There are also no limits for storage, so you can host as many videos, files, documents, or images as you or your clients may have.

Agency Level Setup
Go to settings them in the team menu option at the agency account.
Click on the Add Employee button then you get the following options.
You are filling out all the personal team member information on this screen. The personal logo should be a picture of the team member.
On this screen, you can turn off access to GoHighlevel areas the team member does not need access to. Just toggle the switch off to deny access.
On this screen, you have several options. You can choose Agency or Account depending on the team member’s access level. You can set the role to Admin or User, depending on who they are. I recommend the user unless it’s a higher-level team member. If you select Account on the User Type, the Add Sub-Accounts menu is available to choose which sub-account the user will be a member of.
Once you are done, click save, and the user has been configured.
Sub-Account Level Setup
If you are setting up a user for a sub-account, I highly recommend you do it at that sub-account level. Login to the sub-account, then go to Settings and My Staff option.
Click the Add Employee button to get started. At this level, you have several more configuration options available. Let’s take a look.
This screen is the same as the previous one, and you can also set up user email signatures and choose a particular calendar associated with the team member.
This screen is the same as before. Just toggle off the areas you don’t want the team member to have access to.
Choose whether the user will be a standard user or an Admin.
GoHighlevel utilizes the LC Phone System so that you can set up each team member with a dedicated phone number. Once you have set up the phone number, you will choose that number on this screen. A new Ring Group feature allows you to select which option a user will receive calls via, either the Web app or the Mobile App. This screen is also where you upload the voicemail message for the team member, greeting them. Using the slider, you can also choose how long the number will ring before going to voicemail.
The meeting location allows you to set up a permanent meeting link with a tool like Zoom or Google Meet and put their meeting location in the Meeting Location box. Team members are not always local to the business, so you will have to select what timezone the team member is in so that the calendar feature can adjust for availability. It is also a great idea to set up the team member’s work schedules on this screen.
There is no configuration on the User Calendar Configuration at this time. Once the team member has logged in, they must go to the sub-account settings and then to the My Profile option to connect their Google or Outlook calendar to GoHighlevel.

GoHighlevel has integrated the user account setup into each platform’s features. You have total control of team management and can provide as little security to each team member as necessary.
