What is a GoHighlevel Ring Group?
A ring group feature in a phone system is designed to enhance the efficiency and flexibility of managing incoming calls within an organization. This feature allows a group of phone extensions or lines to be associated so that when an incoming call is received, it can ring on multiple phones simultaneously. This ensures that calls are distributed among a designated group of users, increasing the likelihood that someone will be available to answer the call promptly.
The primary purpose of a ring group is to streamline communication and improve customer service by preventing calls from going unanswered or being unnecessarily redirected to voicemail. It is particularly useful in environments where multiple individuals share responsibilities, or teamwork is essential. Here’s a detailed exploration of the key aspects of the ring group feature:
Call Distribution:
- In a ring group, incoming calls are distributed simultaneously across multiple phone lines or extensions. This helps evenly distribute the workload among team members, ensuring no single individual is overwhelmed with incoming calls. It is a valuable tool for customer service teams, support centers, or any professionals who collaborate on handling incoming calls.
Flexibility and Customization:
- Ring groups are highly customizable to suit the specific needs of an organization. Administrators can configure how calls are distributed, set the order in which phones ring, and define parameters for call forwarding or escalation. This flexibility allows businesses to tailor the system to their unique operational requirements.
Sequential or Simultaneous Ringing:
- Depending on the preferences of the organization, a ring group can be configured for simultaneous or sequential ringing. Simultaneous ringing ensures that all phones in the group ring simultaneously, while sequential ringing follows a predetermined order, moving from one phone to the next until the call is answered.
Call Routing Options:
- Ring groups often come with advanced call routing options. For example, suppose none of the phones in the group are available to answer the call. In that case, the system can route the call to a specific voicemail box, another group, or an external number. This ensures that calls are handled efficiently during peak times or when team members are unavailable.
Monitoring and Reporting:
- Administrators typically have access to monitoring and reporting tools that provide insights into the performance of the ring group. This includes data on call volume, average response times, and individual user statistics. Such information is valuable for optimizing the configuration of the ring group and identifying areas for improvement in call management processes.
Integration with Other Features:
- Ring groups are often integrated with other phone system features, such as auto-attendants, voicemail, and call queuing. This integration enhances the overall communication experience and ensures a seamless flow of calls within the organization.
What is GoHighlevel/Highlevel?
GoHighlevel, or just Highlevel as its users call it, is an all-in-one sales and marketing platform for marketing agencies and small businesses. The GoHighlevel platform offers every tool needed to run a business successfully at a fixed monthly cost. The GoHighlevel platform allows you to Whitelabel their software so agencies can use this platform and brand it like it was their own. This allows agencies to create a Software as a Service (SaaS) business and an additional monthly recurring revenue stream.
Typically, agencies would perform a job for their client, like building a website or running Facebook ads, only to have the job end or the client cancel their service. Now, agencies have to continue to market to find another client. Now, with Gohighlevel, you can migrate your clients off whatever CRM, email marketing tool, phone system, or funnel software they may be using and run their business entirely off the GoHighlevel platform. The best thing about this is that your clients pay you monthly for these services. You can charge $297, $497, or whatever you want to charge for these services, and your client continues to pay for these each month like a utility, creating a stable recurring monthly revenue.
GoHighlevel sets no limits for its users on any paid plan so that you can have unlimited contacts, websites, funnels, email or text templates, and workflows. There are also no limits for storage, so you can host as many videos, files, documents, or images as you or your clients may have.

How to set up the Ring Group in GoHighlevel
To set up the ring group feature in GoHighlevel, go to Settings > Phone Numbers, click on the three dots for the phone number you want to set up and choose Edit Configuration.
Before this new feature, all you could do was set up a forwarding number, typically to your business number, but with the ring group, you can have up to eight people’s phones ring once. The person who answers the call first takes the call, and the call drops to the others in the call group.
To use this feature, you must set people up with user accounts within GoHighlevel. You can’t add phone numbers to this field. This means user configurations need to be set up per user to determine how the call will be delivered to each user.
You will need to edit each user in the ring group and specify how they will receive the phone call. This is done by going into Settings > My Staff > Call & Voicemail Settings. You have two options to choose from.
Within the ring group, the user can take calls from the desktop or web app, or you can receive calls on the Lead Connector or GoHighlevel mobile app, assuming they are logged in.
NOTE: If you select both the web app and the mobile app, the web app will always be used, and the mobile app will never ring.
GoHighlevel Ring Group Conclusion
This has been a long-awaited feature within the GoHighlevel platform. Now, business owners have much more flexibility to route calls and ensure they are answered before the customer goes to voicemail.
